Reporting to the Associate Director of Financial Aid Services, the Assistant Director/Athletic Aid Coordinator advises and recommends policy and procedure development, regulatory compliance, and interdepartmental relations with core campus departments related to student athletes. This position is responsible for administering and awarding Athletics Scholarships, in conjunction with financial aid from all other sources. They will monitor and communicate changes in financial aid and athletic scholarship programs and work closely with Associate Director and Athletic Compliance personnel to address compliance issues.
The Athletic Aid Coordinator will establish and maintain student athlete records, monitor their financial aid and athletic aid award packages, and maintain eligibility in compliance with the rules and regulations set forth by the National Collegiate Athletic Association (NCAA) and UMass Amherst. They will create, implement, and maintain a unified student award tracking system between the Financial Aid and Athletic Offices.
In addition to athletic coordination, this position will assist in awarding departmental and endowment scholarships, prepare documentation for Financial Aid compliance audits and assist with federal and state program reconciliation.
* Responsible for the day-to-day oversight of NCAA Division 1 Bylaw 15 (Financial Aid), Atlantic 10, Colonial Athletic Association, Hockey East, state, federal, and university rules and regulations. Develop and implement policies and procedures to ensure compliance with the awarding and distribution of federal, state, athletic and other financial aid to student athletes. Create, track and maintain auditable files of all Financial Aid Athletic Agreements. Serve as primary Financial Aid liaison to the Athletic Compliance Office. * Cultivate a professional network of financial aid athletic administrators that can provide a portfolio of resources to allow the University to have a more comprehensive compliance approach. * Develop and maintain a process to systematically synchronize Cost of Attendance and Financial Aid awards between Athletic Compliance Assistant software with UMass Student SPIRE system. Regularly ensure the student athlete Cost of Attendance accuracy with the student billing system and financial aid modules. * Monitor and determine eligibility for grants-in-aid student limits. Work collaboratively with Athletics Compliance to determine countable and non-countable financial aid per NCAA and conference regulations. * Review and report on individual and team limits for approval from Athletics Compliance Office. Obtain athletic scholarship authorizations prior to the awarding of aid. Monitor team equivalencies by squad list before any athletic competitions to determine athletes' ability to compete. * Assist the Athletic Business Office in the preparation of any required NCAA financial aid reports. Analyze and prepare athletic early read need-based financial aid estimates for prospective student athletes. Collect and review Outside Scholarship donor documentation. Collaborate with Athletics Compliance Office to determine student eligibility. * Attend annual NCAA Conference and other professional development and training opportunities and serve as a member of the Compliance Committee. * Responsible for gathering information and coordinating Student Athletes Appeal Committee hearings when there is a dispute between the athlete and the Athletic Department regarding a cancellation or reduction to athletic funding. Serve as a Financial Aid representative at in-person hearings to consider special circumstances and communicate final determination of appeal proceedings and athletic aid eligibility to all parties. * Assist with financial aid processing and departmental program administration. Utilize query and database tools to perform analysis and develop quality control procedures. * Assist with setup of funds within the financial aid system to award departmental and endowed scholarship funds to students. Awarding of the scholarships to students. * Perform data extraction for analysis and reconciliation of federal, state and private financial aid programs. Analyze reconcilable items to determine student eligibility and cash monitoring. * Assist in the preparation of annual federal and state financial aid audits and assist with other financial aid processing as directed.
* Earned bachelor's degree * Two years of demonstrated experience in higher education financial aid, NCAA intercollegiate athletic compliance or a combination. * Demonstrated ability to work independently and have the ability to interpret complex regulations. * Advanced knowledge of Microsoft Office software, student database systems and data manipulation. * Skilled at interpreting student financial information. * Demonstrated oral and written communications skills. * Ability to work with a diverse student body and staff.
* Prior working knowledge of intercollegiate athletics, Compliance Assistance software and NCAA rules and regulations. * Expertise with an integrated student administrative software system (PeopleSoft preferred). * Knowledge of state and federal financial aid regulations, and awarding guidelines. * The ability to effectively handle difficult situations in a professional manner. * Ability to develop a professional network and independently seek professional resources and guidance. * Demonstrated experience collaborating with various athletic, University, and external constituencies.

* Monday - Friday 8:30 am - 5:00 pm * Ability to work occasional evenings and weekends that may include travel.
